Xero integration

Xero integration that keeps your books in step

Xero is a great ledger for many Australian businesses. The trouble starts when operations run in other systems and finance spends days re-keying and reconciling. We connect Xero properly to the rest of your business, or help you decide when it is time to move to an ERP.

Typical Xero integrations

ERP or operations system to Xero

Invoices, bills, payments or summarised journals posted from ERPNext or another operational system, with tracking categories mapped.

E-commerce to Xero

Shopify or WooCommerce sales, fees and refunds posted in a way your accountant can reconcile against payouts.

CRM to Xero

Closed deals become draft invoices, and sales teams can see payment status without a Xero login.

Inventory and job systems

Stock, job costs and purchase orders kept in a dedicated system, with the financial result posted to Xero.

Payroll and timesheets

Xero Payroll or another Australian payroll system connected to timesheets and job costing.

Reporting

Xero data combined with operational data for margin and cash reporting.

What we get right

  • Clear rules for which system owns contacts, items and tax codes
  • Correct GST treatment on every posted transaction
  • Tracking categories mapped to jobs, locations or divisions
  • Summarised or detailed posting chosen for the volume and audit needs
  • Failures logged and flagged, never silently dropped
  • Reconciliation steps documented for the finance team

When Xero is no longer enough

If you are adding integration after integration to make Xero do the work of an ERP, it may be time to step up. Our guide to moving from MYOB, Reckon or Xero covers the signs and the options, and this comparison of Xero, MYOB and Reckon helps if you are still choosing accounting software.

Payroll changes such as Payday Super also affect integrations. See Xero and Payday Super.

FAQ

Frequently asked questions

Can Xero integrate with an ERP?

Yes. A common pattern keeps Xero as the ledger, with an ERP or operational system posting invoices, bills, payments or journals into it through the Xero API. It works well when responsibilities are clear and volumes are moderate.

Should we post every transaction or summaries to Xero?

It depends on volume and audit needs. High-volume e-commerce often posts daily summaries that reconcile to payouts. Lower-volume B2B businesses usually post individual invoices so customers and statements are managed in Xero.

Do you build Xero integrations for e-commerce?

Yes. Shopify and WooCommerce sales, fees, refunds and payouts can be posted to Xero so the clearing accounts reconcile. Getting GST and payment gateway fees right is most of the work.

When should we move from Xero to an ERP?

When stock, production or job costing has moved into spreadsheets, several add-ons hold critical data that disagree, or you need multiple entities and warehouses in one system. Until then, a well-integrated Xero is often the better choice.
